The three-part test

A task is worth automating when all three are true:

• It repeats on a schedule or on a trigger, not occasionally
• It follows a rule you could write down without hesitating
• It gets forgotten, and forgetting it costs money

The third is the one people skip. A task you always remember to do saves you only the time. A task you sometimes forget costs you the outcome.

The candidates in most businesses

Payment reminders. Rent, subscriptions, membership renewals, credit accounts. The rule is simple and the cost of forgetting is a late payment or a lost customer.

Recurring invoices. Same customer, same amount, same day. Producing these by hand is pure repetition with a real risk of missing one entirely.

Low stock alerts. The threshold is a rule. Running out is expensive. Nobody checks every line every day.

Daily closing summaries. A figure you would look at if it arrived, and probably will not go looking for.

Renewal and expiry dates. Memberships, licences, contracts. Always known in advance, frequently missed.

What not to automate

Anything that involves reading a situation. Chasing a customer who is struggling, pricing an unusual job, deciding whether to extend credit. Automating those turns a relationship into a process and usually costs you the relationship.

Start with the one that already cost you

Rather than automating broadly, take the last thing you forgot that cost money and automate exactly that. One rule that works is worth more than ten that nobody trusts.
