Daily Remittance: When Someone Else Collects Your Money

Plenty of businesses depend on someone else handling the money: a boda rider, a delivery driver, a field agent, a hawker. The owner sees a figure at the end of the day and has to decide whether to believe it.

Remittance without a denominator is unverifiable

A number handed over means nothing on its own. It only becomes checkable when set against the work that produced it — trips completed, deliveries made, units sold, litres collected. Without that second figure there is no way to distinguish a quiet day from a shortfall.

What to record on both sides

• Work done — the count, from a source other than the person remitting where possible
• Money returned, with the date and who returned it
• Expenses advanced or deducted — fuel, airtime, float
• The expected figure, calculated from the work
• The variance, tracked over time rather than judged daily

Variance is a pattern, not an accusation

Any single day's difference can have an innocent explanation. What matters is the trend. Consistent small shortfalls from one person and none from another is a signal; a single bad day is noise. Treating the first day's variance as a confrontation destroys a working relationship and usually finds nothing.

Most shortfalls are not theft

In practice they are discounts given informally, jobs done as favours, money spent on fuel and not recorded, and simple arithmetic errors. Each of those is fixable by a clearer process. Assuming dishonesty first means you fix none of them.

Make remitting easy

A process that is slow or confusing produces errors that look like dishonesty. Recording at the point of work rather than at the end of the day removes most of them, because nobody is reconstructing a shift from memory.
